Build one inventory before comparing proposals

Use the blank equipment inventory worksheet to give competing proposals the same starting point. Record unknowns honestly. A missing model number is a survey task, not proof that equipment must be replaced.

  • Cameras: model, firmware, required view, recording settings and current VMS connection.
  • Doors: readers, controllers, credentials, locking hardware and who owns the entrance.
  • Infrastructure: cabling, power, network responsibility and recording/storage equipment.

Assign each item a decision

Retain when supported compatibility and condition are established. Test when a dependency remains uncertain. Replace when the required function or applicable specification cannot be met. Retire when the view or access point is no longer required and its owner approves removal.

Ask the proposer to identify the source for each reuse decision. A supported-device list is useful, but your acceptance test must also cover the actual function. For example, live video alone does not establish usable event search, export or PTZ control.

Test the work people actually do

  1. One representative incident: locate a clip, export it and play it back using an authorized operator account.
  2. One representative access change: enroll and revoke an approved test credential, then confirm the intended doors respond correctly.
  3. One controlled recovery: agree on a safe interruption test and verify the recording or access behavior specified in the design.

Document success criteria, exceptions and the person who accepts the result. Tests involving occupied doors or live recording must be planned with the responsible site staff; do not interrupt a production system just to complete a checklist.

Make the transition part of the quote

Include temporary overlap, retention of historical recordings, account ownership, rollback decisions and support after handover. Specify who updates camera names, door schedules, administrator permissions and the equipment register.

Separate one-time equipment and labor from recurring licensing, cloud retention, support and renewals. Use the five-year quote worksheet with the same assumptions for every option. Neither a cloud subscription nor retained hardware guarantees the lower total cost.
